Definition

Customer message automation, explained.

Customer message automation A system that reads incoming messages across all your channels, understands the request, answers it using your information (prices, availability, procedures, customer history) and hands anything outside its remit to a person. AI does the understanding and the drafting; the rules, the tone and the limits stay yours.

Today

  • The same questions, twenty times a day
  • Requests left waiting until the next morning
  • Leads lost to whoever replied first
  • Details copied into the CRM by hand

Automated

  • The right answer within seconds, 24/7, in the customer’s language
  • Requests sorted, qualified and routed to the right person
  • Appointments offered and confirmed without the back-and-forth
  • A team that only handles the cases that matter

Automatable tasks

Eight tasks that shouldn’t take your time anymore.

The requests that come back every week, on every channel. Each one can be automated, fully or partly, with your rules.

  1. 01

    Answers to recurring questions

Opening hours, prices, availability, access, order status: an instant reply based on your up-to-date information.

  2. 02

    Request triage and routing

Each message is classified (quote, support, complaint, billing) and passed to the right person with its context.

  3. 03

    Lead qualification

Needs, budget, timing, location: the right questions are asked and the record is created in your CRM.

  4. 04

    Booking and reminders

Slots offered from your calendars, confirmation, a reminder the day before, rescheduling in one message.

  5. 05

    Multilingual replies

Customers write in their language and get an answer in their language; your team reads the translation.

  6. 06

    Review replies

Personalised replies to Google and platform reviews, published after approval if you prefer.

  7. 07

    Follow-up messages

Confirmations, pre-appointment instructions, case updates: the right message goes out at the right time.

  8. 08

    Hand-off to a person

Complaint, emergency, unhappy customer or off-script question: instant transfer, with a summary of the conversation.

How it works

From request to reply, in seconds.

The automation doesn’t replace your inbox: it plugs into it. Here is a message’s journey, from arrival to answer.

  1. 01

    Intake

Messages from every channel land in a single stream: email, WhatsApp, web forms, chat, platform inboxes.

    All channels

  2. 02

    Understanding

AI identifies the request, the language, the urgency and the customer, then finds the relevant information in your tools.

    Your data

  3. 03

    Reply or hand-off

Within scope, the reply goes out. Out of scope, the request goes to the right person with a draft and the context.

    Your rules

  4. 04

    Follow-up & log

CRM or industry software updated, every action logged, replies refined from your feedback.

    Fully traceable

Task → time saved

What messages cost, industry by industry.

For each industry, the most time-consuming messaging task, costed with the default assumptions of its page. Adjust them to your volumes in the calculator.

Indicative estimate: the most time-consuming task in this family for each industry, using the default assumptions of its page (typical business). These are not client results. Hours/week = Σ (volume × minutes × automatable share) ÷ 60 · hours/year = hours/week × 47 · Methodology
Task Volume / wk Time per unit Automatable Saved / wk
Short-term rental management Answer guest messages 150 messages 4 min 70 % 7.0 h
HOA & condo association management Sort and answer owner requests 120 requests 5 min 60 % 6.0 h
Hotels & restaurants Answer booking enquiries 100 enquiries 4 min 60 % 4.0 h
Real estate agencies Qualify portal leads 60 enquiries 6 min 60 % 3.6 h
Accounting firms Chase missing documents and receipts 60 reminders 5 min 70 % 3.5 h
Training providers Answer enquiries and quote requests 40 enquiries 8 min 60 % 3.2 h
Travel & events agencies Request and chase supplier quotes 40 quote requests 8 min 60 % 3.2 h
Insurance brokers Answer routine client requests 60 requests 5 min 60 % 3.0 h

Why no total? Each row comes from a different industry, so adding them up would be meaningless. Your own total is what the calculator gives you.

Human oversight & compliance

Your customers are talking to your business. You stay in charge.

An automatic reply speaks for your brand. So the automation is scoped, supervised and compliant by design.

  • GDPR
  • EU AI Act
  • EU hosting available
  • Every action logged

Scope and hand-off

You decide what can go out on its own and what needs approval. Complaints, emergencies and uncertain cases go to a person.

Transparency

Customers know they are talking to an automated assistant, as the EU AI Act requires, and can ask for a person at any time.

Customer data protected

GDPR: data minimisation, defined retention, EU hosting available, and your conversations are not reused to train models.

Searchable log

Every message received, every reply sent and every hand-off is recorded: you always know who said what.

FAQ

Automating customer replies: your questions.

Can’t find yours? Ask us — you’ll get an answer within one business day.

Can customer replies be automated without losing quality?
Yes, as long as you define what can go out on its own. Replies draw on your up-to-date information (prices, availability, procedures) and the tone you set. Anything outside that scope — a complaint, an emergency, an unusual question — goes to a person with a summary and a draft reply.
Which channels can be automated?
Email (Gmail, Outlook), WhatsApp Business, your website forms, live chat, text messages, and platform inboxes (booking sites, marketplaces) where they offer access. Messages from every channel can be brought into a single stream.
How many hours does message automation save?
According to our industry pages, the indicative estimate ranges from 1.5 to 11.0 hours per week for a typical business, on this task family alone. The maths is transparent: weekly volume × minutes per message × automatable share, divided by 60. The calculator applies it to your own volumes.
Do customers know they are talking to AI?
Yes. We clearly state when a reply is generated automatically, as the EU AI Act requires in most cases. Customers can always ask to speak to a person.
Do we need to change our inbox or CRM?
No. The automation plugs into your existing tools: email, calendar, CRM, industry software. It reads and writes where you already work.
What if the AI doesn’t know the answer?
It doesn’t make one up. When in doubt, it tells the customer a person will get back to them and passes the request to your team with the context. Those cases are then used to improve future replies.
Do our customer conversations stay confidential?
Yes. Data is minimised, kept for a defined period and can be hosted in the EU. We choose the AI model according to how sensitive the conversations are (Claude, GPT, Mistral or a self-hosted open-source model), in a setup that does not use your data to train models.
