In short

Iselia Projects automates the repetitive office work of home services and cleaning companies: quote requests, staff rotas and cover, client messages, reconciling hours worked, invoicing (including tax-credit schemes such as France’s immediate advance for home services), payment chasers and visit reports. Connected to your scheduling software and time-tracking tools, these automations give the office team several hours back every week.

Day to day

Where your team loses time.

Useful but repetitive tasks that pile up around the real work. They are usually the first ones that can be automated.

  • A rota rebuilt every morning

A cleaner off sick, a client who reschedules, a key to collect: someone has to find cover, tell the client and rework the round, often before 8 am.

  • Quote requests left waiting

Size of the home, frequency, tasks, pets, access: every prospect asks the same questions, and the quote goes out late, after a competitor has already replied.

  • Hours worked to reconcile

Clock-ins, timesheets, moved visits: before invoicing and payroll, everything has to be checked visit by visit.

  • Tax-credit billing to keep on track

Where clients pay only their share under a tax-credit scheme, as with France’s immediate advance, payment requests, disputes and rejections add another loop to monitor.

  • Late payers and failed direct debits

Politely chasing loyal households or property managers takes time, and every delay hits the cash that pays wages.

  • Business clients who want proof

In commercial cleaning, clients expect visit reports, quality checks and an immediate response to complaints.

Task by task

Where your hours are hiding.

Each row applies the same formula: weekly volume × manual time × automatable share. Volumes match the example “25 cleaners, about 150 clients, 2 office staff”.

Indicative estimate for the example “25 cleaners, about 150 clients, 2 office staff”, based on conservative assumptions you can edit in the calculator. Not a client result. Hours/week = Σ (volume × minutes × automatable share) ÷ 60 · hours/year = hours/week × 47 · Methodology
Task Volume / wk Time per unit Automatable Saved / wk
Customer messages & requests Answer quote requests Qualifying questions sent automatically (size, frequency, tasks, pets, access), an estimate from your price grid, an assessment visit booked and a draft quote to approve. 12 requests / week 15 min 50 % 1.5 h

End-to-end example

Example: a cleaner off sick, a client informed, a correct invoice

A typical scenario to show how it fits together: each step triggers on its own, your team approves what needs approving and can take over at any time.

Typical scenario

Human in the loop: approvals, escalations and a log of every action.

  1. Absence reported

A cleaner texts in sick: the automation lists the day’s affected visits.

  2. Cover suggested

For each visit, available and qualified staff in the area are suggested to the office, which approves in one click; the stand-in receives the address and instructions.

  3. Client informed

The client is told about the change, or invited to pick another slot if they would rather wait for their usual cleaner.

  4. Hours reconciled

At the end of the week, clock-ins are compared with the actual rota; discrepancies are flagged before invoicing and payroll.

  5. Invoice sent

The invoice is prepared from approved hours and, where a tax-credit scheme applies, the payment request goes out through your software; disputes are tracked.

Moving a visit, a question about an invoice or tax statement, instructions for next time: replies sent and the rota updated; complaints go to the manager.

  • 1.8 h / week

Clock-ins compared with the rota, discrepancies flagged (absence, lateness, extra time), invoicing and payroll data prepared.

  • 1.6 h / week

Invoices prepared from approved hours; where a tax-credit scheme applies (such as France’s immediate advance via URSSAF), payment requests sent through your software and approvals, disputes and rejections tracked.

  • 0.7 h / week

Failed debits and late payments detected, polite reminders by email or text, debit retried, manager alerted above a set threshold.

  • 0.6 h / week

Visit reports and quality checks (photos, checklists) formatted and sent to business clients, complaints tracked until closed.

Why automate office work in home services and cleaning

In home services and cleaning, quality is delivered in the field, but the business runs on the office: a rota rebuilt in minutes, a client warned before a new face turns up, hours invoiced without mistakes. That work is highly repetitive and constantly interrupted. Automating it frees the office for what matters: recruiting, supporting staff and looking after clients.

Tax-credit schemes: the French example

Several countries support home services through tax relief. In France, services provided at a private home by a registered provider (services à la personne) give the client a tax credit of 50% of the amount spent, within statutory limits, and the provider issues an annual tax statement to each client. With the immediate advance (avance immédiate), clients who opt in pay only their remaining share: the provider submits a payment request to URSSAF, usually through authorised software, and the client has 48 hours to approve or dispute it. It is one more loop to monitor: statuses, disputes, rejections. Our automations prepare and track; your software and your authorisation remain the channel.

Care for older or disabled people falls under a separate, regulated framework. Any health or dependency information involved calls for stronger safeguards, and we handle it separately.

Commercial cleaning: different priorities

For cleaning contractors, the priorities are team rotas by site, cover, proof of visits, quality checks and fast responses to complaints. When a contract changes hands, sector agreements in several countries (the cleaning industry’s collective agreement in France, TUPE in the UK) can require staff to transfer: a moment when collecting documents quickly saves a lot of time.

What automates well… and what stays with the office

Automates well: qualifying requests and drafting quotes, finding cover, keeping clients and staff informed, reconciling hours, invoicing and tax-credit tracking, payment chasers and visit reports.

Stays with the office: the final choice of cover, recruitment, delicate situations (a vulnerable client, a serious complaint, an incident at a home) and people management.

Our principles

  • Human approval for every change that affects a client or a staff member.
  • Home security: addresses and access codes only go to the staff member concerned, when they need them.
  • Everything is logged, and you own the automations and the data, connected to your current software.

Where to start

Usually with cover arrangements and client messages: they are what interrupts the office all day long. The calculator below uses the assumptions on this page; adjust them to your business for your own indicative estimate, then book a free assessment so we can check it together.

FAQ

Your questions, answered.

What professionals in this industry ask us most often before getting started.

How much does it cost to automate a home services or cleaning company?
The 30-minute assessment is free. Each automation is then priced as a fixed project based on its complexity and weighed against the hours it gives back; we often start with cover arrangements or quote requests. You own what we build.
Does it work with our scheduling software?
Yes, through its API, exports or your mailbox. We don’t replace the software that already handles your contracts, rota and invoicing: the automation feeds it the right information at the right time and takes care of the messages around it.
How do you handle France’s immediate advance of tax credit?
For clients who have opted in, the provider sends each payment request to URSSAF, usually through its authorised software; the client has 48 hours to approve or dispute it, then pays only their remaining share. Our automations prepare the invoices, rely on your software for submission, track statuses and alert you to disputes or rejections. They don’t replace your authorisation.
Will a machine decide the rota?
No. The automation suggests cover based on your rules (skills, area, contracted hours, client preferences) and informs everyone once you have chosen. The office keeps the decision, especially for vulnerable clients or special situations.
Will our staff need a new app?
Not necessarily. We start from what they already use: your software’s clock-in app, text messages or WhatsApp. The aim is to make their day simpler, not to add a tool.
Is our clients' data protected?
Yes: addresses, key-safe codes and routines are sensitive for clients' safety. Access is limited to what’s needed, every action is logged, European hosting is available and processing is covered by a GDPR-compliant agreement.
What about commercial cleaning contractors?
The same building blocks apply with different priorities: team rotas by site, cover, visit reports and quality checks for clients, complaint tracking and monthly invoicing per contract.
