Four families of automations

What we automate, and the hours it gives back.

Iselia Projects automates four families of repetitive work — customer messages, documents and admin, scheduling and operations, custom business tools — with automations designed around your industry, often AI-powered, and plugged into the tools you already use. We always start with the task that gives back the most hours.

The four families

Lost time hides in the same places.

Short-term rentals, accounting firms, estate agencies, building trades: the industries differ, the time sinks look alike. Here are the four families of work we automate, and what each one weighs.

  1. 01 / 04

    Customer messages & requests

Does your team answer the same questions ten times a day?

Email, WhatsApp, web forms, platform inboxes: recurring requests get the right answer at any hour. Sensitive cases go straight to your team.

    • 24/7 replies in the customer’s language
    • Triage, qualification and booking
    • Human hand-off whenever it matters

  2. 02 / 04

    Documents & admin

Still re-keying invoices, quotes or purchase orders?

Invoices, quotes, purchase orders, contracts: documents are read, checked and entered where they belong. Reminders go out on time, without anyone thinking about it.

    • Automatic reading and data entry
    • Customer and supplier reminders
    • Clean filing and archiving

    5.8 hper week on average

  3. 03 / 04

    Scheduling & operations

Does your schedule get rebuilt by hand every time something changes?

Schedules, assignments, checklists, job tracking: operations update themselves and everyone knows what to do, right when they need to.

    • Schedules generated and adjusted
    • Teams notified automatically
    • Real-time job tracking

  4. 04 / 04

    Custom business tools

Do your processes live in spreadsheets, email threads and copy-paste?

When no software fits the way you work, we build the tool: client portal, internal app, dashboard, reports that send themselves.

    • Client portals and internal apps

Prioritisation

Hours back versus effort: we start with the best ratio.

Not everything is worth automating. During the assessment, each task is placed on two axes: the hours it would give back every week, and the effort needed to automate it reliably. The roadmap follows that order.

  1. Answers to recurring questionsQuick wins
  2. Supplier invoice entryQuick wins
  3. Overdue payment remindersQuick wins
  4. Job schedulingCore projects
  5. Custom client portalCore projects
  6. Monthly reportNice to have
  7. Complex customer disputeKeep it human

A task is a good candidate when…

  • It comes back often

Steady volume, week after week: that is where minutes turn into hours.

  • It follows clear rules

Common cases are easy to describe; exceptions go to a person.

  • The information is reachable

Inbox, industry software, spreadsheet, API or export: the data lives somewhere.

  • A mistake can be caught

Where the stakes are high, a human approval step sits before anything goes out.

The formula, no black box

volume × minutes × automatable share ÷ 60

= recoverable hours per week. Assumptions are visible and editable in the calculator; we replace them with your real figures during the assessment.

What never changes

Four families, the same commitments.

Whatever the automation, it is built for you, plugged into your tools, and stays under your control.

Plugged into your tools

Inbox, industry software, accounting, CRM, calendar, WhatsApp, APIs: we adapt to what you already use, without changing your habits.

FAQ

Custom automation: straight answers.

Can’t find yours? Ask us — you’ll get an answer within one business day.

What is a custom automation?
It is a chain of tasks carried out automatically — reading a message, extracting a detail, entering it, notifying someone, producing a document — designed around the way you work and plugged into your tools. Iselia Projects builds these automations, often using AI to understand text and documents, always with human oversight where it matters.
Which tasks can a small business automate?
Four families account for most of the recoverable time: customer messages and requests (replies, triage, bookings), documents and admin (invoices, quotes, reminders, filing), scheduling and operations (assignments, checklists, job tracking) and custom business tools (client portals, dashboards, automated reports).
Which automation should we start with?
The one that gives back the most hours for the least effort: usually a frequent task with clear rules and data that is already reachable — often answering recurring questions, document entry or payment reminders. The free assessment ranks your tasks on both criteria.
How many hours can we get back?
It depends on your volumes. Across our 16 industry pages, the indicative estimate for a typical business averages around 15.1 hours per week, all families combined. The calculator applies the same formula (volume × minutes × automatable share ÷ 60) to your own figures.
Do we need to change our software?
No. Automations plug into what you already use: email, Google Workspace or Microsoft 365, industry software, accounting, CRM, WhatsApp, and any tool with an API or an export. When no software fits, we build a custom business tool.
Will AI replace my team?
No. AI is a means to an end: it drafts, sorts, extracts or summarises within limits you set. It absorbs the repetitive work; your team keeps the decisions, the customer relationships and the cases that need judgement.
How long does it take to set up an automation?
The first time savings reach production within a few weeks. We ship one automation at a time, starting with the most valuable, then expand step by step while measuring the hours actually saved.
What happens if an automation gets it wrong?
It is designed to hesitate: when in doubt, it stops and hands over to a person. Sensitive actions can require approval, everything is recorded in a log, and we monitor how it runs after go-live.
