In short

Iselia Projects automates the repetitive work of short-term rental managers and Airbnb co-hosts: 24/7 guest replies, check-in instructions, turnover scheduling, maintenance follow-up and owner statements, wired into your PMS and booking channels. For a 30-unit portfolio, the indicative estimate is around 18 hours back every week, without losing the human touch with guests and owners.

Day to day

Where your team loses time.

Useful but repetitive tasks that pile up around the real work. They are usually the first ones that can be automated.

  • Guest messages around the clock

Lockbox code, Wi-Fi, parking, early check-in: the same questions land late at night, at weekends and in several languages, usually while your team is out on site.

  • Check-ins prepared by hand

Arrival time, guest details, ID or registration forms where local rules require them, access codes to set up: every booking triggers a string of small tasks that are easy to miss.

  • A turnover schedule that never sits still

A cancellation, an extension or a late checkout means re-briefing cleaners, checking linen and reshuffling the day, often over WhatsApp and from memory.

  • Maintenance issues lost in the chat

A dead bulb, a broken water heater, a forgotten charger: reports come in as photos or voice notes, and following them through to the contractor depends on one person.

  • Owner statements that eat the month-end

Reconciling bookings, management fees, cleaning fees and expenses for every owner, then explaining the differences, takes days you could spend growing the portfolio.

Where your hours are hiding.

Each row applies the same formula: weekly volume × manual time × automatable share. Volumes match the example “30 units, team of 3”.

End-to-end example

Example: from booking to turnover, with no re-typing

A typical scenario to show how it fits together: each step triggers on its own, your team approves what needs approving and can take over at any time.

Typical scenario

Human in the loop: approvals, escalations and a log of every action.

  1. New booking

The reservation lands in your PMS from Airbnb, Booking.com or your direct site. The automation opens the guest file and schedules the messages and the checkout clean.

  2. Before arrival

The guest gets their instructions and a link to confirm arrival time and complete their details. An access code is generated for the length of the stay.

  3. During the stay

Routine questions are answered instantly in the guest’s language. A reported issue becomes a ticket sent to the contractor; anything sensitive is escalated to your team.

  4. At checkout

Cleaners are notified with their checklist; photo sign-off puts the unit back on sale and triggers a review request.

  5. At month-end

Each owner statement is prepared from PMS data and expenses, ready for you to check before it goes out.

Example: a 30-unit rental management company

Illustrative scenario, not a real client. A management company runs 30 units, roughly 35 bookings a week, with a team of 3. Using the cautious assumptions in the table (150 messages at 4 minutes, 70% automated; 35 check-ins, 35 guest registrations, 35 turnovers, 10 maintenance issues, 7 owner statements and 25 reviews a week), the estimated time back is about 18 hours a week, close to 850 hours a year over 47 working weeks: roughly half a person freed up for properties, owners and growth. Why automate your short-term rental operation now

Short-term rental management has become an operations business. Every booking sets off a couple of dozen small jobs: messages, access codes, cleaning, linen, reviews, bookkeeping. With a handful of units you get by on responsiveness and a few WhatsApp groups. Past twenty or so, management time grows faster than revenue, and it is usually the founder answering guests at 11 pm.

Automation here doesn’t mean swapping your team for a chatbot. It means factual questions get a correct, instant answer; the turnover schedule follows bookings without anyone re-typing; and your managers spend their time on what actually makes a good operator: the condition of the homes, owner relationships and solving real problems. AI is used to understand a message, draft a reply in the guest’s language or read an invoice. The business rules remain yours.

Regulation is adding admin, not removing it

Short-term rentals are under growing scrutiny almost everywhere. In the European Union, Regulation (EU) 2024/1028, applicable since 20 May 2026, sets a common framework for registration numbers and requires platforms to share rental data with public authorities. France has made registration mandatory for all furnished tourist lets (the 2024 "Le Meur" law); Scotland has required a short-term let licence since 2023; many cities in the US and Europe run their own permit, night-cap or occupancy-tax schemes, and several countries require guest registration with the police.

The practical consequence: your listings, your nights and your tax returns now have to line up, and that is checkable. A well-designed automation keeps the relevant data per property, flags listings missing a registration or permit number, and prepares the reports you then approve and file.

Where to start

The tasks that give back the most hours are nearly always the same: guest messaging and check-in instructions first, then turnover scheduling. Owner statements come next, with the added benefit of fewer errors and fewer month-end emails explaining the numbers.

Things to get right

  • Answers are only as good as the property file. An incomplete guidebook produces incomplete replies, so structuring that information is part of the assessment.
  • Access codes are sensitive. Temporary codes limited to the stay, sent only to verified guests, with every send logged.
  • People keep the exceptions. Disputes, refunds, damage and negative reviews always go through your team.
  • Your tools stay yours. We plug into your PMS rather than replace it, and if you switch tools, the automations follow.

FAQ

Your questions, answered.

What professionals in this industry ask us most often before getting started.

How much does it cost to automate a short-term rental business?
It depends on how many tasks you automate and which tools you use. We start with a free 30-minute assessment, then price a first scope (usually guest messaging and turnover scheduling) against the hours it will give you back. You own the automations outright, with no lock-in to an opaque platform.
How quickly can it be up and running?
You’ll typically see a first time saving in production within a few weeks. We start with the task that costs you the most hours, pilot it on a handful of units, then roll it out across the portfolio.
Does it work with my PMS (Hostaway, Guesty, Hospitable, Smoobu…)?
Yes. We connect to your PMS and channel manager through their APIs or webhooks, as well as WhatsApp, email and your calendar. If a tool has no API, we’ll tell you during the assessment and suggest a workaround.
Will guests end up talking to a bot?
Automated replies cover factual questions (access, Wi-Fi, house rules) using information you approve for each property. Complaints, refund or discount requests and anything delicate go to your team with the full context. You set the escalation rules.
How is guest data protected?
We only process the data you actually need, with defined retention periods, EU hosting available and a log of every action. ID documents and registration forms stay in your own systems, not ours, in line with GDPR and local privacy rules.
Can you handle local registration and tourist tax requirements?
We automate collecting guest details and preparing the reports your jurisdiction requires (guest registration, nights stayed for occupancy or tourist tax where the platform doesn’t collect it). Final checks and filings stay with you.
What if a turnover isn’t done in time?
The automation watches for sign-offs: if the checklist isn’t completed by the cut-off time, your operations lead is alerted so they can act before the guest arrives.
