HOA & condo association management
Automation forHOA, condo and block management companies
Fewer emails, chasers and data entry: more time for buildings and boards.
- Customer messages & requests
- Documents & admin
- Scheduling & operations
In short
Iselia Projects automates the repetitive work of HOA, condo and block management companies: sorting and answering owner requests, tracking incidents and work orders, preparing meeting packets and minutes, chasing overdue assessments and processing vendor invoices, all wired into your management software (AppFolio, Buildium, Vantaca, CINC, Qube…). For a firm managing 40 associations, the indicative estimate is around 15 hours back every week.

Day to day
Where your team loses time.
Useful but repetitive tasks that pile up around the real work. They are usually the first ones that can be automated.
-
An inbox that never empties
Noise complaints, a stuck garage gate, a question about a special assessment: dozens of emails a day, often sent to the wrong manager, and owners unhappy about slow replies.
-
Incidents that are hard to track
A water leak means an insurance claim, a work order to the plumber, a quote, a follow-up: several parties per incident, and it’s easy for one to fall through the cracks.
-
Meeting season
Annual and board meetings pile up: agendas, resolutions, packets, notices sent on time, then minutes to draft and circulate.
-
Delinquencies chased too late
Friendly reminders go out when someone has time; the longer a balance runs, the more it strains the association’s cash flow and your relationship with the board.
-
Vendor invoices to key in and code
Landscaping, utilities, elevators, janitorial: every invoice has to be checked, coded to the right association and the right budget line.
Task by task
Where your hours are hiding.
Each row applies the same formula: weekly volume × manual time × automatable share. Volumes match the example “40 associations (~1,200 units), team of 6”.
| Task | Volume / wk | Time per unit | Automatable | Saved / wk |
|---|---|---|---|---|
| Customer messages & requests Sort and answer owner requests Emails read and sorted by association and topic, routine questions answered (documents, assessments, meeting dates), everything else routed to the right manager with context. | 120 requests / week | 5 min | 60 % | 6.0 h |
| Scheduling & operations Track incidents and work orders Case opened from the report, work order sent to the contracted vendor, insurance claim drafted, chasers sent and affected owners kept informed. | 20 incidents / week | 15 min | 50 % | 2.5 h |
| Documents & admin Prepare owner and board meetings Agenda built from board requests and deadlines, draft resolutions, packet assembled and meeting notices sent within the required notice period. | 1 meetings / week (annual average) | 180 min | 50 % | 1.5 h |

| Documents & admin Process vendor invoices Invoices read, matched to the contract or quote, coded to the association and budget line, then approved by accounting. | 60 invoices / week | 3 min | 70 % | 2.1 h |
| Documents & admin Prepare resale documents Data gathered for resale certificates, estoppel letters or leasehold enquiries (balances, approved projects, pending litigation), ready for checking before it goes to the buyer’s lawyer or title company. | 1 unit sales / week | 60 min | 50 % | 0.5 h |

End-to-end example
Example: from water leak to closed case
A typical scenario to show how it fits together: each step triggers on its own, your team approves what needs approving and can take over at any time.
Human in the loop: approvals, escalations and a log of every action.
-
Report
An owner emails a photo. The message is linked to the right association and unit, tagged as an incident, and an acknowledgment goes out straight away.
-
Work order
The contracted vendor receives the work order with the address, access details and photos; the manager approves it in one click.
-
Insurance
The claim is drafted with the case documents; the manager checks it before it’s sent to the master policy insurer.
-
Follow-up
Automatic chasers to the vendor and adjuster, updates to affected owners at each step, and an alert if the case stalls.
-
Close-out
When the invoice arrives, it’s matched to the work order and coded; the case is archived and visible in the owner portal.

Example: a firm managing 40 associations
Illustrative scenario, not a real client. A management firm looks after 40 associations (around 1,200 units) with a team of 6. Using the cautious assumptions in the table (120 owner requests a week, 20 incidents, one meeting and one set of minutes a week on an annual average, 30 reminders, 60 invoices and one unit sale), the estimated time back is about 15 hours a week, close to 710 hours a year over 47 working weeks, with the gain much more concentrated during meeting season. Why automate association management now
Community association management is under strain: heavy portfolios, owners expecting faster answers, compliance obligations stacking up and roles that are hard to fill. A large share of a manager’s day goes on sorting email, chasing vendors, assembling documents and re-keying information that already exists somewhere else. Those are exactly the tasks automation can take on.
The aim isn’t to make the relationship less personal. Quite the opposite: an owner who gets an immediate acknowledgment and then an update at each stage of their leak contacts the office less and trusts it more. AI is used to read a message, link it to the right building, extract data from an invoice or draft minutes; the manager keeps the decisions and the signature.
A dense regulatory framework, wherever you operate
The rules differ by country and state, but the pattern is the same: deadlines and documents. In the US, state condominium and HOA statutes set meeting notice periods, records-access rights, resale disclosure requirements and, in some states, caps on resale certificate fees; since the Surfside collapse, Florida requires milestone structural inspections and reserve studies for many condominium buildings. In England and Wales, managing agents must run Section 20 consultations before major works and follow the service charge rules reshaped by the Leasehold and Freehold Reform Act 2024. In France, where we also work with syndics de copropriété, the 1965 condominium law and later reforms (ALUR, ELAN, Climat et résilience) require a separate bank account, a reserve fund, an owner extranet, 21-day meeting notice and a multi-year works plan.
Well-designed automation tracks these deadlines building by building, prepares the documents and raises an alert when something slips, without replacing the manager’s professional responsibility.
Where to start
In most firms, inbox triage and owner replies give back the most hours, followed by incident tracking and invoice processing. Meeting preparation is the most visible project: it weighs less on an annual average, but it takes a lot of pressure off the team during meeting season.
Things to get right
- Reliable master data. Associations, units, contracts and vendors need to be current in your software; the assessment checks this.
- Approved templates. Notices, resolutions and minutes start from your templates and are reviewed by a manager.
- People make the calls. Formal collections, vendor selection and disputes between owners: automation prepares, the manager decides.
- A full audit trail. Every message sent and every action is logged, which also makes board questions easier to answer.
