Automation forveterinary clinics and allied health practices
Fewer calls, reminders and letters to handle: more time for patients and their owners.
- Customer messages & requests
- Documents & admin
- Scheduling & operations
In short
Iselia Projects automates the repetitive front-desk and admin work of veterinary clinics and allied health practices: booking and rescheduling appointments, vaccine and treatment reminders, pre- and post-procedure instructions, draft clinical reports and letters, and answers to routine questions. Connected to your practice-management software and online booking, these automations give the reception team several hours back each week without ever touching clinical decisions; human health data is only processed in an environment that meets health-data hosting requirements (HDS certification in France).

Day to day
Where your team loses time.
Useful but repetitive tasks that pile up around the real work. They are usually the first ones that can be automated.
-
A front desk buried in calls
Bookings, time changes, “are the results in?”, food orders: the vet nurse or receptionist answers the phone all day, often mid-consultation or with a client at the counter.
-
Vaccine reminders that don’t land
Vaccines, parasite control, annual health checks: reminders from the software are generic, badly timed or never followed up, and pets drop out of preventive care.
-
No-shows
A lost consultation or session slot cannot be recovered, and calling every patient the day before takes time nobody has.
-
The same instructions for every procedure
Fasting before anaesthesia, drop-off time, aftercare at home: the same explanations, first by phone then in writing, for every surgery.
-
Reports typed up in the evening
Surgical reports, referral letters, physio or speech-therapy assessments for the referring doctor: writing spills over into the end of the day.
-
Data you can’t hand to just any tool
Professional confidentiality, GDPR and, for human health, specific hosting rules: it’s hard to know which tool is allowed to see what.
Task by task
Where your hours are hiding.
Each row applies the same formula: weekly volume × manual time × automatable share. Volumes match the example “3 vets, 3 vet nurses”.
| Task | Volume / wk | Time per unit | Automatable | Saved / wk |
|---|---|---|---|---|
| Customer messages & requests Handle booking requests and changes Replies to requests by email, text or web form, slots offered according to your rules (visit type, clinician, duration), confirmed in the diary; emergencies always go to a person. | 100 requests / week | 3 min | 50 % | 2.5 h |
| Customer messages & requests Send vaccine, treatment and appointment reminders Personalised reminders (pet or patient name, care due, booking link) at the right time, a follow-up if there’s no reply, and responses tracked. | 60 reminders / week | 2 min | 70 % | 1.4 h |
| Customer messages & requests Send pre- and post-procedure instructions Fasting instructions, drop-off time, documents to bring and aftercare advice approved by your team, sent automatically by procedure type. | 25 procedures / week | 4 min | 80 % | 1.3 h |
| Documents & admin Draft clinical reports and letters A structured draft from the clinician’s notes or dictation (report, referral letter, letter to the referring doctor); the clinician reviews, corrects and signs. | 10 documents / week | 15 min | 50 % | 1.3 h |
| Customer messages & requests Answer routine questions Opening hours, indicative prices, whether a result is ready, how to prepare for a visit: answered from information you have approved; anything that calls for clinical advice goes to the team. | 60 messages / week | 3 min | 60 % | 1.8 h |
| Scheduling & operations Process food and repeat orders Repeat requests (pet food, parasite control) taken, stock checked, order prepared for collection and the client notified; repeat prescriptions still need the vet’s approval. | 20 orders / week | 4 min | 60 % | 0.8 h |
| Documents & admin Follow up estimates and outstanding balances Unconfirmed surgery estimates and outstanding balances tracked, polite reminders sent, the team alerted above a set threshold. | 5 reminders / week | 8 min | 60 % | 0.4 h |
| Estimated total · ≈ 446 h a year | 9.5 h | |||

End-to-end example
Example: from a booked surgery to aftercare at home
A typical scenario to show how it fits together: each step triggers on its own, your team approves what needs approving and can take over at any time.
Human in the loop: approvals, escalations and a log of every action.
-
Appointment booked
The owner asks for a surgery date; a slot that fits your rules is offered and added to the diary, with the estimate to confirm.
-
Instructions the day before
The day before, they receive fasting instructions and the drop-off time; their confirmation is recorded, and no reply triggers a reminder.
-
Clinical report
After the procedure, the vet’s notes are used to draft the report and discharge advice; the vet reviews and approves them.
-
Follow-up
The owner receives aftercare instructions, then a message about the post-op check with a booking link.
-
Prevention
The next reminders (vaccines, parasite control, health check) are scheduled automatically on the record.

Example: a veterinary clinic with 3 vets and 3 vet nurses
Illustrative scenario, not a real client: a companion-animal clinic with 3 vets and 3 vet nurses. With the cautious assumptions above — 100 booking requests, 60 reminders, 25 procedures to prepare, 10 reports or letters, 60 routine questions, 20 orders and 5 payment reminders per week — the indicative estimate is about 9.5 hours saved per week, or close to 445 hours a year (47 working weeks), mostly at the front desk. Real figures depend on your software, your online booking and your client base.

Why automate the front desk and admin of a clinic or practice
In a veterinary clinic as in an allied health practice, clinical time is protected… until the phone rings. Reception juggles the owners or patients in front of them, calls, messages, reminders and letters, and much of that exchange repeats itself word for word. Automating it doesn’t touch diagnosis or care: it frees the team for real reception work, assisting in consultations and follow-up. The goal is simple: fewer interruptions at the desk, fewer missed reminders and letters that are ready for review rather than written from scratch.
Veterinary clinics: what you need to know
- GDPR: information about the animal is not health data under GDPR, but everything about the owner (identity, contact details, visit history, payments) is personal data. Reminders should stay tied to the animal’s care; promotional messages fall under separate consent rules.
- Professional confidentiality: vets are bound by it; our automations restrict access to the information strictly needed and log every action.
- Medicines: dispensing and repeat prescriptions remain the vet’s decision. The automation prepares the request; it doesn’t grant it.
Allied health practices: a stricter framework
Physiotherapists, speech therapists, osteopaths, podiatrists: you handle health data, a special category under GDPR. Three practical consequences:
- Hosting: some countries impose specific hosting rules. In France, health data hosted on behalf of a practitioner must be hosted by an HDS-certified provider. Any automation that reads an assessment or report must run within that framework, AI model included.
- Exchanges between professionals: sending an assessment to the referring doctor should go through a secure health messaging service (MSSanté in France) rather than ordinary email.
- Billing to public health insurance: it stays in your approved billing software; we don’t bypass it.
Without a compliant environment, we only automate logistics (bookings, reminders, practical information), with no clinical content.
What automates well… and what stays with the clinician
Automates well: booking requests and changes, reminders, standard instructions, answers to practical questions, draft letters from notes, orders and payment reminders.
Stays with the clinician: examination, diagnosis, prescribing, triaging emergencies, reviewing and signing every document, and any difficult conversation with an owner or patient.
Where to start
Usually with reminders and pre-procedure instructions: high volumes, messages you already know by heart and an immediate drop in phone calls. The calculator below uses the assumptions on this page; adjust the volumes to your practice for your own indicative estimate, then book a free assessment so we can check it together.
